Key Responsibilities

  • Greet and welcome visitors with a warm and professional demeanor.
  • Answer, screen, and forward incoming phone calls, taking messages as necessary.
  • Provide accurate information in-person and via phone/email regarding the company's services or any inquiries.
  • Maintain a tidy and presentable reception area, ensuring a comfortable environment for guests and staff.
  • Handle incoming and outgoing mail, organize deliveries, and manage courier services.
  • Schedule appointments and manage calendars for meetings/conferences.
  • Assist with administrative tasks such as data entry, filing, and maintaining records.
  • Collaborate with various departments to ensure efficient communication within the organization.

Qualifications

  • High school diploma or equivalent; additional certification in office management or related field is a plus.
  • Proven experience as a receptionist or in a customer service role.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with office equipment like printers and fax machines.
  • Strong organizational and multitasking skills, with attention to detail.
  • Excellent verbal and written communication skills.
  • Ability to work independently and as part of a team.
