Position Summary
The Recruiting Coordinator supports Berliner Cohen, LLP’s recruiting and hiring efforts for attorneys and professional staff. Working under the supervision of the Director of Human Resources, this role is responsible for monitoring job postings and responses, coordinating interviews, maintaining recruiting records, and ensuring a high-quality, professional candidate experience consistent with the firm’s culture and standards. The Recruiting Coordinator serves as a key liaison between candidates, attorneys, hiring managers, and the HR department.
The ideal candidate will have worked in a law firm environment and possess a minimum of five years of experience in both recruitment and human resources. This candidate must be willing to work onsite in our downtown San Jose office and be available Monday through Friday, generally 8:00 am to 6:00 pm, with occasional overtime.
Essential Duties & Responsibilities
Recruitment Process Support
- Assist with job postings, candidate sourcing coordination, and recruitment initiatives.
- Maintain accurate and up-to-date records in the applicant tracking system (ATS) and personnel files.
- Keeps metrics on recruiter usage vs firm direct hires.
- Prepare interview materials.
- Track candidate status and provide regular updates to the Director of HR.
- Manage recruiter agreements and keep meticulous records in Excel of each active agreement.
Recruiting & Interview Coordination
- Coordinate and schedule interviews for attorney and staff positions, including phone, virtual, and in-person interviews.
- Manage interview logistics such as conference room reservations, video links, candidate itineraries, and visitor access.
- Serve as a primary point of contact for candidates, providing timely communication and guidance throughout the recruitment process.
Offer & Onboarding Support
- Assist with the preparation and coordination of offer letters.
- Coordinate pre-employment requirements, including background checks and reference checks.
- Communicate onboarding steps and start-date logistics to new hires.
Administrative, Compliance & Confidentiality
- Maintain strict confidentiality of candidate and employee information.
- Ensure recruiting practices align with firm policies and applicable employment laws.
- Assist with recruiting reports, metrics, and compliance documentation.
- Support recruiting events, law school outreach, and firm-sponsored hiring initiatives as needed.
- Assist with general human resources department needs outside of recruitment as needed. This may include managing timecards, assisting with benefits, setting up training courses, onboarding new hires, and generating ad hoc reports. This is not an all-inclusive list.
Collaboration & Professional Interaction
- Work closely with the Director of HR, department heads, and administrative leadership to support hiring needs.
- Respond professionally and promptly to internal and external inquiries.
- Contribute to the continuous improvement of recruiting and hiring processes.
Qualifications
- A minimum of five years of experience in recruiting coordination and human resources.
- Experience in a law firm or legal setting is a plus.
- Strong organizational skills with the ability to manage multiple priorities and deadlines.
- Exceptional attention to detail and discretion with confidential information.
- Professional communication skills, both written and verbal.
- Experience with ADP payroll systems is preferred.
- Proficiency with applicant tracking systems and Microsoft Office.
- Ability to work in the office full-time.
- Must be able and willing to drive occasionally to our Central Valley offices as needed.
The successful candidate's salary is expected to be within the range of $80,000 to $95,000; however, actual compensation will depend on various factors, including the candidate's qualifications and experience.
