Everyone's been here: trying to automate a task you see as routine and simple, and the tech does so poorly you daydream about a return to the Flinstone's era. Or at least beating your computer with an oversized bat (sup, Bamm-Bamm). An example of this in my last role was trying to use HubSpot's Breeze AI tool to do customer research. Because I'm overly-cautious and hyper-vigilant about prospect communications, I decided to test it first on someone I knew really well. We'd been selling to their organization for 18 months. I knew about their personal interests, family makeup, business goals - you know, all the good stuff they tell you to know in sales. So I tossed them and their company into the Breeze agent and asked it to go to work. And it brought back a load of 💩 No hate to HubSpot, but Breeze was (is?) not good. What was it missing? 🧠 Any semblance of intelligence. And this is what happens when you deploy siloed AI tools in an organization. ❌ You get a chatbot that everyone just says, "connect me with an agent." ❌ You get a voice answering machine with 6 standard options, none of which solve a customer's problem. ❌ You get uninformed outbound that leads to people calling your company and your sales reps out on LinkedIn for their bad outbound (P.S. if you've never done cold outbound, don't call people out for it. It's hard.) So, if you want tech to not feel like tech, you'll need an intelligence layer to make that work.

This morning, I sat with a revenue leader at a $50M ARR SaaS company. They are losing 23% of their pipeline because their email and outreach tools weren’t communicating. A prospect would reply “interested” to an email, but automated outreach on another channel kept running. The prospect then receives “just following up” messages, creating confusion and eroding trust. This orchestration problem is widespread. Teams use separate tools for data, enrichment, email, and social outreach. Each works well individually, but none communicate. The result is hours spent manually checking responses, pausing sequences, and updating disconnected systems. The problem isn’t needing more tools, it’s that existing tools need to work as one system. AI saves me 10 hours every single week in my workflows. Here are 5 ways you can reclaim your time with AI. Oh, and you can also steal some prompts! In Sales Back-to-back-to-back sales calls can blur into one. You lose the wood for the trees. If you keep call transcripts (you should), you can use AI to fine tune the Sales process by identifying: - Your customers’ common pain points - The frequently occurring objections - Their goals and desired outcomes for your product/service - Consistent themes in feedback Use these insights to sharpen your messaging, create better sales scripts, and push all the rightt buttons on autopilot. Prompt: "Here’s a transcript of several sales calls: [paste transcript(s)]. Please analyse and extract: - The most common customer pain points - The most frequent objections raised - The recurring goals or desired outcomes customers mention Present the results as a clear list with bullet points under each category. Then, suggest how I could adjust my messaging to better address these themes in future calls." Make Me Sound Like a King The way you come across is critical. People pick up on the smallest details in your emails, WhatsApps, new business proposals etc. Why not use AI to align your writing with your intended tone of voice and audience? Prompt: “Rewrite the following passage in a [Insert tone of voice] style. Keep the core message the same but adjust sentence structure, word choice, and rhythm to reflect that voice whilst making it clear and concise for the recipient.” The Summariser I have a short attention span. On long calls, I sometimes zone out and start thinking about Chelsea’s next Premier League game. But that’s fine. AI saves me. It takes a 30-minute call and condenses it into key points for me to read at my leisure. You can do the same with long documents and contracts too by asking it to summarise the key information. Project Planning We all have projects. I use project calendars to stay on time (and usually don’t, but that’s another story). Instead of building one yourself, simply ask AI to do it for you. It won’t complain either. Prompt: "I’m working on [describe your project]. The deadline is [insert date]. Here are the key deliverables I need to complete: [list deliverables]. Please create a project timeline with milestones, deliverables, and suggested deadlines for each step. Format it as a clear, week-by-week / OR / day-by-day plan that I can use as a working calendar." These prompts would save me tonnes of hours and there’s infinitely more ways to use AI to your advantage in your daily workflows.
