One of my managers came to me with a challenge: A team member who wouldn’t take vacation. There was always: • One more project. • One more deadline. • One more reason to postpone. They weren’t being difficult. They just didn’t feel like they could step away. So, we tried something different: We sat down with them. Opened their calendar. Found dates that could work. And made sure that they knew that everything would be handled while they were away. For leaders and managers, supporting PTO isn’t just about approving time off. Sometimes, it means helping create it. Here’s what I’ve learned about truly supporting rest: 1. Spot Early Signs of Burnout • Notice who hasn’t taken time off in a while • Look for shifts in energy or engagement • Ask gentle questions about their last real break 2. Plan Time Off With Your People • Sit down together and review the calendar • Help surface dates that actually work • Make it a shared puzzle, not a solo problem 3. Build a Real Coverage Plan • Remove pressure to “check in” while away • Handle key client & project updates in their absence • Make sure they return to calm, not backlog 4. Model Rest So Others Feel Safe Doing It • Take your own time off • Talk about how you recharge • Show that stepping away is a strength, not a weakness Some people find taking rest easy. Others need a nudge, or permission. Helping create that space isn’t overstepping.
