💡 Here’s a simple, structured approach I’ve implemented that can help any facility stay on top of this: 1️⃣ Create a Master One Data Sheet • List all instruments in critical food safety areas (e.g., CCPs, hygiene zones, utilities affecting product quality). • Include columns for: • Equipment Name & Location • Due Date for Change/Replacement • Date Changed (Actual) • Next Due Date • Area Owner’s Name 2️⃣ Build an Automatic Tracker • Maintain this in Excel or Google Sheets. • Add conditional formatting to highlight upcoming due dates. • Keep it accessible to quality and operations teams. 3️⃣ Set a Communication System • Inform area owners at least one month in advance before their equipment is due for change. • This gives time for procurement, scheduling, and avoiding last-minute disruptions. 4️⃣ Review & Update Regularly • Hold monthly review meetings. • Update dates as soon as changes are done. ✨ The Benefits: ✔ Zero missed replacements for critical equipment ✔ Stronger compliance with food safety standards (FSSC 22000, ISO 22000) ✔ Improved accountability among area owners ✔ Reduced food safety risks 📌 Takeaway: Food safety is not just about testing products — it’s about maintaining the systems and equipment that protect them.
