Planning events is one of my favorite parts of what we do—but it can also feel really overwhelming. There are so many moving pieces, and choosing the right vendors is one of the biggest ones. One piece of advice I always share with our clients: take your time with vendor selection. Even if it slows things down a little, it’s worth it. Don't go with the first business you meet. Look for vendors who come highly recommended, who’ve shown up consistently at past events, and who have a solid track record of being reliable. And whenever you can—support your local business community. Build relationships with multiple reliable vendors who offer similar services. Not only does it give you more flexibility, but it strengthens your local network, too. Event planning is a puzzle, but with the right pieces in place, it all comes together beautifully.

Over the last couple of weeks, I've been contacted by a number of companies and agencies looking to get their 2026 events booked. It’s brilliant to see teams planning ahead, but many aren’t yet sure of the budget, location, or format. And that’s where I always take a step back and ask one question first: 👉 Why are you hosting this event in the first place? We all know meeting face-to-face delivers far more impact than virtual. But it’s not just about the content. The magic often happens in the in-between moments: chats over coffee ☕️, conversations at dinner 🍽️, ideas sparked during breaks. Those connections make investing in live events worthwhile. Whether you’re planning a sales kick-off or cycle briefing to land your H1 strategy or an Investigator Meeting to engage external HCPs, purpose drives everything. The structure 🏗️, flow of sessions 🎤 , even tone of messaging should reflect why the event exists and what you want people to take away. Logistics can (and should) run seamlessly 🛠️ , but it's within event strategy and storytelling that real success lies.
