    AI vs Travel Agencies - Who wins? As a founder of a travel company, I'm often asked - “can AI replace human travel agents?” Well, AI travel planners seem incredibly efficient.  Within seconds, they spit out personalized itineraries, sightseeing spots, and dining recommendations. But as powerful as they are, AIs have limitations: 1. They lack real-time knowledge. While an AI has access to tons of data, it doesn't have on-the-ground insights or relationships like seasoned travel advisors. 2. Information can be outdated. Just because a restaurant appears in the results doesn't mean it still exists. Human agents verify recommendations are up-to-date. 3. Nuances get missed. AIs offer generic suggestions versus tailored picks based on travelers' unique interests, budgets, personalities. 4. Subjective expertise is irreplaceable. There's immense value in agent relationships, first-hand destination experiences, and reading between the lines of client needs. At the end of the day, AIs handle the legwork while human advisors provide the finesse. AI brings efficiency while advisors provide expertise.     What happens when you don’t have a travel strategy for your company? Most of the people I know, think they’re saving money by booking cheaper flights or hotels. But without a smart travel plan, you often end up spending more, not explicitly but in hidden ways. Imagine, you’re attending an event in central Dubai, near the World Trade Centre. But to cut hotel costs, you book a stay near the airport or the Marina. What happens then? You spend a fortune on taxi rides, waste time in traffic, and then struggle with metro routes that aren’t even direct That ‘cheaper’ stay ends up costing more in money and productivity. Same goes for flight timings. If your flight lands at 1 AM, you’ll reach the hotel by 3 AM. But hotel check-ins usually begin at 2 PM. Now you either wait for hours in the lobby, exhausted… Or pay for an extra night you barely use. But a slightly more expensive flight that lands mid-day could actually save you time, energy, and cost. The bottom line is that without a travel strategy, you’ll keep losing money in bits and pieces.     "India is not poor. Indians aren’t. Unless we fail to utilize our strengths to the fullest." Just to make my kids experience their first snowfall, we visited Kashmir. What started as a family trip turned into a masterclass on grassroots entrepreneurship. Tourism in India—we are still just scratching the surface. But the folks in Kashmir? They are maximizing every opportunity. Met an 18-year-old shooting Instagram reels for tourists on snow glaciers. Charges ₹1000 per reel, edits them on the spot. In peak season, he makes ₹2-2.5 lakh per month. That’s more than what many engineers with degrees earn! Another young man, a graduate in arts, started driving an Innova post-college. Now runs a fleet of four Innovas. Post all expenses, he takes home ₹2 lakh per month. And then there’s the houseboat entrepreneur—offering luxury experiences at ₹15,000 per night. Great hospitality, great business. These are all AI-proof careers. No ChatGPT, no automation, no deep learning can replace them. Real skills, real service, real people. They are not unemployed; they are micro-entrepreneurs. Every time someone says, "There are no opportunities in India," I remember stories like these. The question is not whether opportunities exist—the question is whether we are willing to see them. Tourism is a ₹17 lakh crore industry in India. Imagine if we truly leveraged it.     Coordinating travel as an executive assistant requires precision, foresight, and strong organizational skills. Here are a few guiding principles I rely on: 🧭 1. Understand the Executive's Preferences - Airlines & Seating: Preferred carriers, seating class (e.g., business, aisle/window). - Hotels: Loyalty programs, room type (suite, quiet room, etc.). - Transportation: Preferences for rental cars, chauffeured services, or ride-shares. - Food & Rest: Dietary restrictions, preferred mealtimes, and necessary downtime. 📅 2. Gather Key Travel Details Before booking anything, always confirm: - Destination(s) and the purpose of travel. - Dates & times, including flexibility. - Meetings or events scheduled during the trip. - International requirements: Check visa rules, passport validity, and vaccination requirements. Tip: I’m part of a Microsoft Teams channel with my EA peers where we share real-time updates on visa and travel policy changes. It’s been invaluable with all the recent shifts globally. 🧾 3. Book with Precision - Flights: Consider layovers, flight times, loyalty programs, and backup options. - Hotels: Choose locations close to meeting venues, with solid reviews and loyalty benefits. - Ground Transportation: Arrange rental cars, car services, or vetted ride-share solutions. - Itineraries: I send all travel-related calendar invites from my own calendar. It keeps everything centralized, and I can easily manage updates or changes. 📂 4. Prepare a Comprehensive Travel Pack Provide this digitally or printed: - Full itinerary (flights, hotels, meetings). - Confirmation numbers, addresses, and maps. - Emergency contacts and local office details. - Meeting materials or presentation backups. - Currency tips and local guidance (for international trips). Pro Tip: Check if your executive's spouse or family uses a shared calendar. I had an executive whose personal calendar was shared with her husband and children—adding her travel details there helped keep everyone in sync. ⚠️ 5. Anticipate and Troubleshoot - Monitor flights for delays, gate changes, or cancellations. - Set alerts for weather or local disruptions. - Always have a Plan B: alternate flights, hotel contacts, and car service options. 📲 6. Stay Connected Use tools that keep everyone in the loop based on preference. Text message, WhatsApp (great when traveling internationally) and others. 🧘 7. Post-Trip Tasks - Collect, categorize, and submit receipts for expense reports. - Cancel or reschedule unused bookings where applicable. - Schedule a quick debrief to gather feedback and improve future trips.
