    If you're an agency owner without any automated processes (and would like to streamline your operations): Stop manual report creation. Automated dashboards only. Stop assigning tasks in Slack. Project management tools only. Only attend meetings that add value. If they don’t support your goals, they’re not your priorities. Take the rest of your time to: a) research automation tools that fit your needs b) work on automating one key process c) learn skills to manage and optimize these automated systems Find the most efficient agency in your network, and aim to 2x their level of efficiency. Then wait 12 months. Decrease manual work. Increase automation. Accept the learning curve as the price tag for the streamlined operations you want most. Investing 12 months to automate and optimize is way better than spending years managing redundant tasks that never end.

    After two decades of leading teams, I discovered that traditional to-do lists were holding back my productivity. Here's what I have found working well for me in 2025 - 'interstitial journaling'. Outlined by Tony Stubblebine, this approach is a unified workflow that combines note-taking, task management, and time tracking in one seamless system. Rather than saving all your journaling for the beginning or end of the day, interstitial journaling happens in the interstices (the spaces between tasks). After completing a task, take brief pauses to document three things ... 👉 the current time 👉 thoughts about what you just completed 👉 your next focused action I found this approach particularly valuable because it addresses a fundamental challenge in modern work - the constant context-switching that fragments our attention, particularly mine! And it also helps me course correct, cut back on 'guilt', and send myself positive reinforcement. Here's what I discovered works particularly well ... ➞ I record timestamps to track patterns in my peak performance hours ➞ I catch distractions and build greater self-awareness ➞ It makes breaks more mindful and purposeful ➞ It increases awareness of procrastination patterns and helps reduce them ➞ It creates a natural system for tracking well-being and focus throughout the day With January 10th this year, known as ‘Quitter's Day,’ when many people abandon their New Year's resolutions - this could be the simple yet powerful system you need to stay on track with your goals for 2025.     Feeling overwhelmed by too many things to do? Here are 3 methods that help me prioritize and get back on track: 1. Use the 2x2 Matrix (Value vs. Effort) You place tasks into 4 categories: → High value, low effort (do these NOW) → High value, high effort (schedule these) → Low value, low effort (delegate if possible) → Low value, high effort (eliminate) This framework helps you focus on what truly matters while cutting out the noise. 2. Group Tasks Bulkification isn’t just for backend processes... Sometimes, it’s easier to manage tasks when they are clustered by a similar process or component. For example - → Have a bunch of meetings to schedule? Knock them all out at once. → Need to review multiple reports? Do it one after the other. Do it to build momentum and minimize switching costs (AKA "Multi-tasking") 3. Manager vs. Maker Time (Alex Hormozi’s Method) Manager - oversees projects, attending meetings, and making decisions. Maker - Does the actual work - tasks like writing, designing, or problem-solving. We all play both roles, but the mindset and productivity measures are opposites. Block out time for manager tasks and maker tasks. This separation brings clarity and ensures you’re not mixing two very different productivity modes at the same time. P.S.
