Sharing this piece from Material from a perspective I’ve been spending a lot of time on lately. Most experience platforms are sold as collaboration engines, but in practice they're not always collaborative. Not because the teams are disorganized or under-skilled, usually because the systems don't get set up for how teams work across marketing, digital, data, and IT. I was thinking about very specific moments I've seen - simple content updates that take days/weeks; personalization that looks and sounds great but just never materializes; incredulous tech modifications needed just to give an editor agency.

Why Business – IT collaboration breaks during operation - even with “good” structure. We often assume that the problem between Business and IT is lack of structure. I have, however, often experienced that the problem is structure that cannot be used, maintained, or understood in daily work due to complex tooling. When Business can’t find or trust shared definitions, when IT can’t rely on stable meaning and ownership, collaboration slows down - even if the models look perfect. That’s why we’ve been using FAIR as a practical lens for structuring business knowledge in simpler catalogues with full focus on business user access: ✔️ Findable – If Business and IT can’t find it, they won’t use it ✔️ Accessible – Structures must meet people where they work, not the other way around ✔️ Interoperable – Shared meaning requires connections, not isolated lists ✔️ Reusable – Reuse is what turns structure into quality and consistency 👉 FAIR isn’t just about theory, governance, or documentation. Real-time collaboration in medtech isn’t about speed. It’s about shared visibility. What breaks collaboration most often: • people don’t see dependencies • progress lives in someone else’s inbox • updates arrive too late to act on That’s when teams start blocking each other without realizing it. What actually enables real-time collaboration looks more like this: • every activity sits in a shared roadmap • dependencies are visible upstream and downstream • ownership is explicit • progress updates once, and everyone sees it So instead of asking: “Is this ready yet?” “Can I start my part?” “Who’s waiting on whom?” People can see the answers. That’s when collaboration stops being reactive and becomes part of the workflow itself. A simple rule I’ve learned building medtech products: If collaboration depends on manual updates, it will always lag behind reality. Getting from idea to market requires many disciplines moving together. Real-time collaboration only works when the workflow makes that coordination unavoidable.

This belief was put to the test this week as I architected a large-scale townhall and leadership training solution for a multi-branch organization. The goal: true hybrid engagement at scale. We had all the technology. But the pivotal question wasn't technical—it was human: How do you create parity of presence?
